COURSE PROPOSALS
Individuals or organizations interested in offering a class through WM Community Ed should complete a Course Proposal. For more details about teaching with us, review the Instructor Information. If you have any questions while filling out the proposal, feel free to contact WM Community Education at wmcommunityed@wm.k12.mn.us or 952-955-0280.
The information you provide will help us determine if your class is a good fit and assist in building a compelling description. Community Education collaborates with instructors to effectively market and promote each class. Information collected in the course proposal includes:
Course Title: Give the class a title.
Category: We try to categorize our classes by age or type of program, you are welcome to choose more than one of type of category.
Min & Max Age: What are the ages you prefer in your class.
Min & Max Participants: What are the minimum and maximum number of participation you would like in the class.
Season: Do you have a preference on the season you would like to offer the class i.e. fall, winter, spring, summer or unsure.
Start/End Time: Identify the times you prefer to offer your class.
Sessions: How many times would this class meet? I.e. 1 time, 3 times…
Delivery: Would this be an in person or a virtual class, if in-person then identify where you would like to hold the in-person class.
Desired Fee: What would you like to charge for this class. Community Ed typically does a 70/30 split with instructors. Instructors keep 70% of the revenue after expenses and Community Ed keeps the 30% for processing, marketing, facilities etc.
Supply Fee: Do you need to include a supply in your course fee, or have participants pay a participant fee directly to you. This is an option.
Contact Information: We ask for instructor contact information.
Instructor Bio: We include a short bio to help promote the course at registration. A photo is also something we can add if you would like, we do encourage it.
COURSE INFORMATION/ACCESSING YOUR ROSTER
Instructors have the opportunity to have access to their course roster. To establish access the instructor must have a Watertown-Mayer Eleyo Account. To establish an account go to WM.CE.ELEYO.COM and sign-in
If you are signing into your account for the first time, to activate your account you will need to utilize the search feature. Look up any class in the system and that will officially activate your account.
To will find your roster in a section at the bottom of your dashboard called Courses you Teach. If you can not find your dashboard, there is a link at the bottom of the page under ACCOUNT / Your Dashboard.
Information included on your roster can be customized to your specifications. Rosters can be downloaded into either a PDF or Excel document. You will see how many people are enrolled right from this screen.
Prior to the start of the class Community Ed will confirm enrollment with the instructor. If enrollment is low or if a waiting list has been established the instructor will have the opportunity to either cancel the class or expand the enrollment.
Once the class has been confirmed they will receive their class roster and a confirmation that includes additional information regarding the facility, procedures and contact information if it is an in-person class.

Check Your Enrollment
You are required to contact the community education office the week before the start of your class to check the enrollment numbers for your class. In the event enrollment does not meet the minimum or exceeds the maximum we will dicuss option to make the class successful. Instructors have the ability to access their enrollment roster through the registration system. If you do not have access please contact Community Ed to have your Eleyo Account profile connected with the course you are teaching.
Buying Class Materials and Supplies
Instructors need to provide supplies for class, unless the supplies cost is built into your class fee. Students may pay the instructor directly or a material fee per student will be added to tuition and collected through Community Education. Please indicate your preference on the course proposal form and indicate the cost per student or the anticipated cost payable to the teacher at first class.
Copies of Handouts
All handouts or course materials must be reviewed and approved before the start of your class. Community Education will make a set of copies for each student enrolled. Please submit a copy of all handouts at the time you submit your Course Proposal. The copies will be ready for you at your class location.
Late Registrants
Registration through Community Education is required for all classes. If you have any walk-in registrants: take their names and phone numbers and contact the Community Education Office the next day with the registration information. Direct the late registrants to contact the Community Education office, register with payment. Our staff will confirm that the participants are registered, if not we will contact for payment. If your class is full and you are not able to accept more participants who have late registrants, call the Community Education Office the next day to discuss other options.
Payment to Instructors
Requests for payment will be submitted to the District Office during the Pay Period, right after the completion of your class. Checks may take up to one month to be sent out to you. If you are a new instructor, and not a W-M School Employee, you will need to complete a W-9 form and turn it into the Community Education Office before we can request a check for your payment.
Evaluations
Evaluations are designed to provide valuable feedback from participants and assist in future program planning. Please invite class participants to complete the Community Education Evaluation at the conclusion of your class. Evaluation suveys are emailed out to all registered participants the day after the class ends.
Business Solicitation and Sale of Business Products or Services
The District does not allow teachers to sell products or services to participants registered for a Community Education class. Class lists are not to be used for business solicitation of any kind. Business owners may display business cards in a location in the back of the classroom for interested participants.
Use of School Facilities
Please return your room to the same order you found it. Teachers expect the classroom to be returned to the same condition for teaching the following day. There is No Smoking or Alcohol permitted on School District 111 grounds and in buildings.
Audio Visual Equipment
Audio Visual Equipment will be provided on a limited basis. If you need a projector or computer, we may be able to provide the equipment when available. Requests and dates must be made at the time you submit your proposal.
Accidents & Incidents
An Incident/Injury form must be completed and submitted to the Community Education Office within 24 hours of any accident that occurs during your time at the W-M school grounds. If you or one of your participants has an accident, please make sure to report the incident and complete an incident/injury form.
Open Door/Visitor Policy (Youth Classes)
Visitors, including parents/guardians and community members, are welcome to observe classes . Visitors are not permitted to participate in class activities unless pre-approved. Instructors are responsible for monitoring visitor interactions and ensuring they do not disrupt class activities. Unannounced visits are discouraged but may be accommodated at the discretion of the instructor or program coordinator.
Take Time to Meet Your School Staff
Take time to introduce yourself to the School Custodian on duty. They will help ensure that your class will operate with success. If you have an opportunity to meet the School Principal or Classroom Teacher take time to let them know about the Community Education class that you are sharing with our community members.
Class Cancellations and Emergency School Closings
If for some reason you need to cancel a class, call the Community Education Office to inform us of the cancellation. You are responsible for contacting all class participants and/or parents of children enrolled in your class to inform them of the class cancellation and make up date. Community Education will clear the makeup date and reschedule the class in our facilities system.
If there is an emergency school closing or severe weather closing, Community Education will determine if classes will be canceled and you will be notified. Community Education will help contact students. Instructors may decide to cancel classes if they are unable to make it to class. In this case, you will be responsible for notifying Community Education and class participants of the cancellation. Every effort will be made to broadcast the closing announcement on WCCO, KARE 11 or KSTP.

EMERGENCY / SAFETY GUIDELINES
General Emergency Safety:
- Stay Informed: Listen to local news or emergency broadcasts for updates and instructions.
- Call for Help: If there's an immediate threat, call 911.
- Be prepared: Familiarize yourself with evacuation & shelter protocols. Whether you need to shelter in place or evacuate, ensure all your students are accounted for and emergency information is in hand.
- Stay Calm: Try to remain calm and follow instructions to help ensure your safety and the safety of others.

EMERGENCY PROCEDURES
Fire:
- Pull Fire Alarm.
- Evacuate everyone to the nearest exit.
- If in the pool, have people exit the pool and wait by the fire escape, and the fire department will tell you to exit the building.
- Account for present individuals against your class list. Note who is missing and inform fire staff.
- Contact the WM Community Education Director or Facilities Coordinator at the numbers above.
Severe Weather
- Move everyone to a SAFE AREA. If in the school, go to the hallways or bathrooms. If outdoors, please bring individuals inside or get individuals to the safest place possible. As a last resort when outside remember to get as low as possible on the ground.
- Please be aware of the weather, and it’s changing conditions.
- If severe weather may be a threat, Community Education will try to contact you if it becomes a warning situation. But it is your role to be proactive.
- Account for present and missing persons. Inform Emergency Staff (always carry your class roster with you).
- Contact the WM Community Education Director or Facilities Coordinator at the numbers above.
- If members are injured, work with Emergency. Staff to keep your participants calm and accounted for.
Medical Emergency
- Call 911
- If this person is a member of your class try to perform as much 1st aid as you feel comfortable in performing
- Once emergency staff is there make sure all students/ adults are moved away from the situation.
Intruder Inside/Outside of the Building
- If you are unsure if a person should be in the building ask politely if you can help them find their location or their purpose of being there. (If the person is aggressive/ or has weapons call 911 & go to lock down and cover.)
- If purpose is not legit ask them to leave the building.
- If they do not leave the building call 911.
- Make sure students/adults are in a safe location. Lock door if possible, go to area where you are not seen from windows and doors.
- Account for everyone in your program /class.
- Wait for police to give all clear.
- Do not talk to media.
Missing Person:
- If a student goes missing call parent/guardian.
- If not found in a reasonable amount of time contact parent to contact law enforcement.
- Report to law information all needed information.
- Do not release any information to the media. Direct the media to law enforcement or Superintendent.

Course Evaluations
After each course Watertown-Mayer Community Education send out an course evaluation through the registration system. Feedback gathered from these evaluations helps us continuously improve our programs and support instructors.
Evaluations are designed to provide valuable feedback from participants and assist in future program planning. Community Education Class. Please invite class participants to complete the Community Education Evaluation at the conclusion of your course.
Instructor Feedback
Instructors are encouraged to send a quick follow-up email confirming the number of participants who attended and providing a brief overview of how the class went. This feedback supports ongoing program development and instructional quality.
Payment for the class is generated based on the arrangement between the instructor and Community Education. Payment requests are submitted to WM Finance, with processing typically taking up to one month.
